AppFolio Instant Pay For Vendors

Vendors can now choose to get paid instantly, after you've approved the payment.

How It Works

Through the Vendor Portal, vendors can set their payment preference from three options:

  • Instant Pay — funds deposited instantly in the vendor's bank account
  • eCheck — standard direct deposit, 1–3 business days
  • Bill Pay — paper check mailed to address on file

Vendors can change their preference at any time from their settings page or from any work order details page.

What Changes for Property Managers

When a vendor opts in to Instant Pay, this is still a standard eCheck withdrawal from your bank account. The difference is on the vendor's end — they receive the payment immediately after you approve it.

Cost to you: Standard $1 eCheck fee — no change.

Cost to the vendor: 1.75% fee paid by the vendor for the instant processing.

Automatic Preference Updates

Once a vendor selects their preference in the Vendor Portal, their records in your database are automatically updated. The next time you run through the Pay Bills flow, their correct preference will already be selected — no manual updates needed.

Faster vendor payments mean: - Better vendor relationships - Fewer payment inquiries and follow-ups - Vendors more likely to prioritize your work orders

This is a vendor-driven feature — they opt in, they pay the fee. You get the relationship benefit at no additional cost.
